Our client, a global leading FMCG organisation, is looking to onboard a Consultant who will provide Secretarial Support to the Vice President of Nutrition Research and Development (R&D). The incumbent will play a critical role in ensuring efficient administrative operations and seamless coordination for the VP. This position involves managing the VP's calendar, coordinating with global and marketing secretaries, organizing meetings, arranging business travels, and overseeing event management for the entire Nutrition team.
Key Deliverables:
Calendar Management:
Effectively manage and prioritize the VP's schedule, ensuring alignment with strategic priorities and commitments.
Schedule and coordinate internal and external meetings, ensuring optimal use of the VP's time.
Coordination with Global and Marketing Secretaries:
Collaborate with secretarial support teams globally and within the marketing department to facilitate smooth communication and coordination.
Assist in setting up meetings, ensuring all necessary preparations are in place.
Business Travel Arrangements:
Take ownership of the end-to-end process for business travel, including booking flights, hotels, and taxis.
Ensure travel itineraries align with the VP's schedule and preferences.
International Visits:
Coordinate and organize international visits for the VP, handling logistics, accommodations, and necessary arrangements.
Liaise with relevant stakeholders to ensure a seamless experience during international trips.
Event Management:
Plan, organize, and execute events for the Nutrition team, ranging from team meetings to larger-scale gatherings.
Oversee logistics, catering, and any additional requirements to ensure successful events.
Qualifications:
Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
Proven experience in providing high-level secretarial support to executives.
Excellent organizational and time management skills.
Strong communication and interpersonal abilities.
Ability to handle confidential information with discretion.
Proficiency in using office productivity tools (e.g., Microsoft Office Suite).
Additional Requirements:
Flexibility to adapt to changing priorities and schedules.
Detail-oriented with a proactive approach to problem-solving.
Ability to work independently and collaboratively within a team.
Experience in the nutrition or R&D industry is a plus.
