Assignment Details

Our client, a leading global FMCG company, is looking for Executive Assistant
to provide comprehensive administrative, secretarial, and coordination support to senior leadership. The role will involve calendar management, meeting coordination, travel arrangements, stakeholder coordination, budgeting, and vendor management, ensuring smooth day-to-day operations and efficient execution of administrative processes.
 

Key Responsibilties:
1-Manage and schedule calendars, meetings, and appointments for senior leadership and key stakeholders.

2-Coordinate Board and Committee meetings, including conference room bookings, IT arrangements, and catering requirements.

3-Arrange travel and accommodation for leadership, Board members, and special invitees as required.

4-Manage travel schedules, itineraries, and reimbursements for leadership and team members.

5-Provide administrative and logistical support for events such as Annual General Meetings (AGMs) and external meetings.

6-Handle end-to-end billing and expense management, including purchase requisitions, purchase orders, invoicing, and payment follow-ups.

7-Coordinate with the finance team for vendor payments, budget tracking, and financial documentation.

8-Assist with presentations, Excel-based tracking, and documentation for internal reporting.

9-Ensure proper documentation and maintenance of administrative records and files.

10-Coordinate with internal and external stakeholders to ensure smooth operational processes.

11-Handle any additional administrative or secretarial tasks assigned by the leadership team.
