Our client, a leading research led university is looking to engage with a Consultant.
Key responsibilities
1.Finance coordination
-Coordinate invoice processing and payment tracking
-Review vendor and consultant invoices
-Maintain financial records and grant documentation
-Track pending payments and follow up for closure
-Coordinate with HR, Finance, IT, Legal, and Operations teams
2. Vendor and Consultant management
-Draft and coordinate vendor and consultant contracts (variable, depends on new vendor activity, we are consultant and vendor heavy team)
-Coordinate with Legal for agreement review and execution
-Manage onboarding documentation
-Track contract validity, renewals, and extensions
-Process consultant invoices and obtain approvals( 5-8 invoices per month)
-Coordinate international consultant payment documentation
-Maintain contract repository and records
-Follow up on cross-functional action items and approvals
3.Grant Management & Donor Coordination
-Maintain grant MIS and trackers for active donor-funded projects.
-Monitor grant budgets, utilization, burn rates, and balances
-Manage budgets and forecasts at the level of initiative, grant and CSIP. CRITICAL: scenario planning
-Prepare budget projections and utilization reports
-Update budget tracking templates and reporting formats
-Coordinate monthly reconciliations with Finance
-Prepare donor financial reports and supporting documents
-Coordinate grant extensions, renewals, addendums, and budget reallocations
-Follow up with program teams for reporting requirements
-Process reimbursement claims and verify supporting documents
4.Governance & Leadership Support
- Leadership Support
-Prepare presentations and governance meeting decks including Advisory council meeting quarterly updates
-Prepare presentations for company and center governance
5. CSIP Operations
-Coordinate webinar and event logistics
-Maintain donor, vendor, consultant, and governance documentation
-Ensure proper filing and record management
-Coordinate audit and compliance documentation
-Coordinate institutional membership renewals
-Maintain membership records and documentation

Capacity- Part time
Location- Delhi (hybrid)/ Consultant should be flexible to work onsite on need basis
- 5 to 8 years of experience in finance operations, grants management, donor-funded projects, or program finance; experience with research institutions, universities, nonprofits, or similar organizations preferred
-Strong knowledge of invoice processing, payment tracking, financial documentation, reconciliations, budgeting, forecasting, and MIS reporting
-Experience managing grants, donor reporting, budget utilization tracking, compliance documentation, and financial reviews
-Experience coordinating vendor/consultant contracts, onboarding, renewals, and payment processes
-Strong proficiency in Excel/Google Sheets, financial trackers, reporting dashboards, and documentation management
-Excellent stakeholder management, communication, and coordination skills with ability to work independently in a consulting/part-time role
