A leading global FMCG company
Our client, a leading not-for-profit organisation, is looking for Team Assistant to:
1. Support the CEO on:
o Annual workplan for team members
o Consolidating monthly project progress trackers
o Weekly team check-ins and progress track
o Consolidate field visit notes
o Minute team meetings and track progress on key team decisions
o Update key persons contact list for the organisation
o Manage calendar for meetings, calls and travel
2. Coordinate on behalf of organisation with key internal Business Partners:
- Finance:
o Raise DO/PR, follow through on Invoice Processing and track payments
o Complete new vendor empanelment whenever it’s required
o Follow up on organisation partner fund disbursement requests
- HR:
o Manage internship calendar for organisation including coordination with key campuses for applications, interviews and onboarding
o Support onboarding of all new team members
o Maintain team leave records
- Legal:
o Finalise calendar for board meetings
o Support due diligence document requirements for new organisation partners
o Coordinate the documentation process for agreements of new projects
o Maintain filing of all due diligence and compliance documents of the organisation partners
3. Website and Event management support
o Manage the organisation website and keep it updated
o Collate and update content regularly
o Track requests coming in through the website and follow through with appropriate team members
o Assist in coordinating and organising hosted events
o Manage vendors and ensure due process is followed to onboard and pay vendors
o Manage invitations and guest lists
4. Provide timely and quality Team Support:
o Support organisation team, board members, consultants with travel, transport, accommodation PAN India
o Support team for organising events including venue, vendors, invites, collateral and post event documentation
Please note that the role is based out of Gurgaon.
• Strong communication skills (written and oral)
• Interest in social sector, keen to make a difference
• Willing to travel to field project locations
• Adept at MS Office applications
